Cancellation


Since your appointment involves reserving a time set aside especially for you, a minimum of
24-hours’ notice is required for rescheduling or cancelling an appointment.

  • You can cancel your appointment by calling, texting, or emailing me.

  • For time conflicts known in advance, please notify me the week prior during our scheduled session.

  • When cancelled in advance, I may be able to offer you an alternate time slot and/or meet virtually if you’re unable to attend an in-person session.

 
Late Cancellation


The full fee for the session will be charged when you miss or cancel an appointment without
giving 24-hours’ advanced notice. This means that if an appointment is scheduled for 3:00
PM on a Tuesday, notice must be given by 3:00 PM on Monday at the latest. For Monday
appointments, you’ll need to cancel on Friday.

  • In the case of serious or contagious illness, extreme weather, or other unavoidable circumstance, the fee is waived. If you are unsure, please ask me for further guidance.

  • I do expect even in these scenarios that clients contact me to cancel.

  • Please note: most insurance companies will not reimburse you for missed sessions.

 
Late Arrival


There is grace for late arrival, and we can meet if we have at least 30 minutes of time
together. If you are more than 15 minutes late to your appointment time, it will be treated
like a late cancellation and a full fee for the session will be charged.

 
No-Show


If you fail to show up for your appointment without notifying me ahead of time, the full fee
for the session will be charged. In addition:

  • If you are a weekly client and you miss three scheduled appointments within a three-month time, the therapeutic relationship may be terminated and appropriate referrals to other practices will be offered.

  • If you are a bi-weekly client and you miss two scheduled appointments in a two-month time, the therapeutic relationship may be terminated and appropriate referrals to other practices will be offered.

Policy Rationale


This cancellation policy is important to this counseling practice because while a medical
doctor can see 35 patients in a day, a therapist generally sees a maximum of 6 to 7 clients a
day. When a session is cancelled without adequate notice, I am unable to fill this time slot by
offering it to another current client, a client on the waitlist, or a client with a clinical
emergency. In addition, having this policy helps clients to maintain regular attendance in
therapy, and regular attendance improves therapy’s effectiveness for the client.
